What this policy covers

This policy explains what personal data we collect when you visit this website or contact us through it, why we collect it, how long we keep it, who it might be shared with, and what rights you have over it. It also explains the cookies and analytics this website uses.

The personal data we collect

We collect personal data in the following ways:

When you use our contact or "Join Us" form: your name, email address, subject and message content, and any other information you choose to include.
When you email or call us directly: the contact details and any other information you provide.
When you browse the site, if you consent to it: usage data collected via Google Analytics (see the Cookies & Analytics section below). We do not use any other analytics, advertising, or social media tracking cookies, and we do not collect any personal data automatically through your browsing activity beyond what is described in this policy.

Why we collect it, and our legal basis

Purpose What data Legal basis (UK GDPR)
Responding to enquiries about room hire or joining the practice Name, email, subject, message content Legitimate interests (Article 6(1)(f)) — responding to a query you have voluntarily raised with us
Setting up a room hire agreement or licence, if you go ahead Name, contact details, and any details needed to fulfil the agreement Performance of a contract (Article 6(1)(b))
Keeping the website secure and functioning correctly Strictly necessary cookie / local storage data (see Cookies section below) Legitimate interests (Article 6(1)(f)) / not subject to consent under PECR as strictly necessary
Understanding how visitors use our website, to help us improve it Usage data via Google Analytics (pages visited, approximate location, device/browser type) Consent (Article 6(1)(a)) — only used if you click "Accept" on our cookie banner

We do not collect or process special category data (such as health information) through this website. If your enquiry or correspondence with us happens to reveal health-related information, we will treat it with the additional care UK GDPR requires for special category data, and will not use it for any purpose beyond responding to you.

How long we keep your data

We keep enquiry and correspondence data for as long as reasonably necessary to respond to you and, where relevant, to maintain a record of any agreement reached — typically no longer than 24 months after our last contact with you, unless we are required to keep it longer for legal, accounting, or contractual reasons (for example, room hire agreements may need to be kept for the duration of the agreement plus a reasonable period afterwards). Google Analytics data is retained according to the settings on our Analytics account, currently set to no longer than 14 months, after which it is automatically deleted.

Who we share your data with

We do not sell or rent your personal data. We do not pass your details to third parties for marketing purposes. Your data may be seen by:

Our email provider, solely as the technical means by which messages sent through this website reach us.
Google, as the provider of Google Analytics, but only if you have consented to analytics cookies. Google may process this data outside the UK; see Google's own privacy policy for details of the safeguards it applies.
Professional advisers (such as an accountant or solicitor), but only where necessary and only to the extent required.
Regulators or authorities, where we are legally required to disclose information.

Other than the Google Analytics processing described above (which only occurs with your consent), we do not transfer your personal data outside the UK.

Your rights

Under UK GDPR, you have the right to:

Ask us what personal data we hold about you, and get a copy of it (right of access)
Ask us to correct inaccurate or incomplete data (right to rectification)
Ask us to delete your data, where there is no good reason for us to keep it (right to erasure)
Ask us to restrict how we use your data in certain circumstances (right to restriction)
Object to us processing your data where we rely on legitimate interests (right to object)
Withdraw your consent to analytics cookies at any time, by clearing your browser's local storage for this site or by contacting us (right to withdraw consent)
Ask us to provide your data in a portable format, where technically applicable (right to data portability)

To exercise any of these rights, contact us using the details above. We will respond within one month, as required by law.

If you are unhappy with how we have handled your personal data, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or by calling 0303 123 1113. We would, however, appreciate the chance to address your concern directly first.

Cookies & Analytics

Cookies are small text files placed on your device when you visit a website. This website uses a strictly necessary cookie/local storage entry to remember your cookie preference, and — only if you click "Accept" on our cookie banner — Google Analytics cookies to help us understand how the site is used. If you click "Reject non-essential", Google Analytics is never loaded and no analytics cookies are set.

Strictly necessary storage does not require your consent under UK law (Privacy and Electronic Communications Regulations, PECR), though we still tell you about it. Google Analytics is non-essential, so it only loads after you actively consent, and you can withdraw that consent at any time as described above.

Cookie / storage name Purpose Duration Type
cb_cookie_consent Remembers your cookie banner choice, so it isn't shown again on every page 12 months (stored in your browser's local storage, not a traditional cookie) Strictly necessary
_ga, _ga_* Google Analytics — distinguishes unique visitors and sessions, used to compile anonymised usage statistics Up to 14 months Analytics (only set if you click "Accept")

You can control or delete cookies through your browser settings at any time. Blocking strictly necessary storage may affect how parts of this site function.

We may update this policy from time to time, for example if the way we collect or use data changes. The "last updated" date at the top of this page will reflect the most recent revision.
